Business Operations Specialist

As our Business Operations Specialist, you'll ensure everything runs smoothly and efficiently. Acting as the go-to person for our team’s administrative, HR, IT, and client-related tasks, you’ll play a vital role in Positive’s success. From handling internal operations to coordinating with clients, you’ll work closely with our team to create a seamless experience for everyone. Your responsibilities

Business Operations

  • Assist with HR processes such as recruitment, onboarding, and internal holiday requests.
  • Coordinate IT onboarding/offboarding activities in collaboration with our external IT provider.
  • Maintain and organise business documentation across Dropbox and OneDrive, making it easily accessible.
  • Support administrative tasks that enable compliance with ISO and Cyber Essentials standards.
  • Help with scheduling and organising internal and client meetings, including diary management and booking meeting rooms.
  • Support the organisation of team meetings and internal social events.
  • Support the management of suppliers and assist our Finance Manager with cost management.
  • Oversee office operations to maintain a professional and welcoming environment for the team and clients.

Client Operations

  • Assist with pre- and post-session logistics for client deliveries, including virtual setup on Zoom and Teams.
  • Support client-related email management.
  • Provide holiday cover for our Client Success Specialist.

Your qualities and experience

Essential

  • 3-5 years of relevant experience in office management, business operations, or a similar role (that incorporates points listed above).
  • Demonstrated ability to thrive in a small, close-knit team environment, with a flexible, hands-on approach suited to a fast-paced setting where every contribution counts.
  • A proactive, can-do attitude and a willingness to learn and grow.
  • Proficiency in Microsoft Office Suite and experience with file management tools like Dropbox and SharePoint.
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.

Desirable

  • Knowledge of recruitment processes, onboarding and maintaining HR documentation.
  • Familiarity with cybersecurity protocols (Cyber Essentials) or a willingness to learn.
  • Comfortable with technology and maintaining IT infrastructure, in collaboration with external IT Support.
  • Prior experience in supporting client logistics and providing client-facing operational support.

Important things to know

  • Full-time based in UK.
  • Start date: ASAP
  • Office Location: Holborn, London.
  • Salary: £27,000 - £32,000, depending on experience.
  • Willingness to work flexible hours.
  • Hybrid working – must be able to work 2 days per week in the office (Tuesdays and Thursdays)
