Client Operations Specialist

Positive are seeking a new Client Operations Specialist

We are seeking a detail-oriented and proactive professional to join our team on a full-time basis. This role supports the Business and Client Operations Manager in all client and business logistics to ensure the smooth and efficient day to day running of Positive for our clients and employees. You will be logical, organised and bring an optimistic and solution focused approach to your work.

Key responsibilities

  • Set up all logistical elements of any workshops/ sessions delivered to clients (in -person, virtual and hybrid) including client communications, facilitators’ travel arrangements and feedback data analysis
  • Support the maintenance of our project management software/trackers e.g. Monday.com and championing their use across the team
  • Assist with client management across calls and emails etc
  • Lead on scheduling meetings including internal room bookings or external events for the team (think Team lunches, summer socials and Christmas parties)
  • Support on documentation (meeting notes etc) and maintenance of team and delivery calendars
  • Maintain and organise filing systems and business documentation
  • Support administrative tasks that enable compliance with internal policies including Cyber Essentials standards
  • Assist with HR processes (supported by external HR consultants), including recruitment, onboarding, and internal holiday requests
  • Coordinate IT onboarding/offboarding activities (with support from our external IT provider) and be point of contact for our facilitators for basic technical assistance in virtual workshops/sessions (run on Teams and Zoom)

Skills and experience

  • 3-5 years of relevant experience in client operations, office management, business operations, or a similar role (that incorporates points listed above)
  • Proficiency with office software, including Microsoft Office Suite
  • Excellent communication and interpersonal skills
  • Curiosity about integrating AI to increase operational efficiencies
  • Strong organisational abilities with great attention to detail
  • A can-do attitude and ability to take initiative - we're a fast-paced, dynamic team looking for proactive problem-solvers who thrive on collaboration, lending a hand where needed, embrace learning, and adapt their skills to evolving business needs.

What we offer

  • Start: ASAP
  • Salary of £35,000.
  • Pension scheme.
  • Flexible working hours with a hybrid setup (Tuesday and Thursdays are core office days).
  • 25 days holiday plus bank holidays.
  • Modern office located in Holborn, Central London.
